1. Equipment master-data template
Use the exact column names from the downloaded eECD equipment CSV. Do not rename headers. Columns may be repositioned if the header text and values remain unchanged.
Mandatory equipment fields
The following fields form the core equipment record. Complete the fields required for the equipment type and ensure that identifiers are unique.

2. Example equipment records

Remove example records before upload. The row containing “These are example data, add your equipment data here” is instructional text and must not be uploaded as an equipment record.
3. Preparing and uploading the CSV

In eECD, open Equipment and select Download EQUIPMENT CSV.

Keep the downloaded header row unchanged.

Copy equipment data from your TMS or internal system into the template.

Set the complete worksheet to Text format before entering or pasting values, so Excel does not alter identifiers, decimals or dates.

Save the file as CSV using a new filename for every upload.

Test with 20–50 records and review validation results before uploading a larger file.

4. Date formatting
All date fields must use YYYY-MM-DD, for example . Excel may automatically convert dates to the local format. If dates are not converted back to YYYY-MM-DD before upload, the upload may report zero records without detailed error information.
To protect the format, set date columns to Text and verify values such as 2021-12-18 and 2023-12-20 before saving the CSV. Alternatively, save as XLSX while checking the formats, then export to CSV.
Clearing an existing date through CSV
If a date already exists, leaving the CSV cell empty may not clear it. To overwrite the date with a blank value, enter a single apostrophe (') in the field so it is treated as text, then upload the CSV.
5. Data-quality checklist
- Header names are unchanged.
- Equipment identifiers are unique and correctly populated.
- Number of compartments matches the compartment data supplied.
- All applicable weights, ADR and inspection fields are complete.
- Dates use YYYY-MM-DD.
- Example rows and instructional text have been removed.
- The file has been tested with a small batch.
